We begin with the information someone needs to choose: what the product is, which version they are holding and what distinguishes it. That order guides the scale, position and contrast of the name, descriptor and supporting copy.
The label family shown here keeps the brand and structure consistent while color and recipe names change. Recognition comes from the parts that stay fixed; navigation comes from the parts that change. We decide those rules before adapting the artwork across the range.
We check the design on the actual dimensions, with the longest product name and the densest approved copy. A layout that only works on the simplest variant is not a finished system.

##### Packaging and labels
We establish the information hierarchy, then develop the artwork across the agreed product range. One label becomes a system with room for different names, sizes and variants. Existing dielines, approved product copy and supplier requirements shape the design from the start.
##### Printed brand materials
Business cards, stationery, brochures and inserts should feel related without using the same layout everywhere. We adapt type, color and imagery to the size, reading distance and purpose of each piece, then prepare the agreed artwork for production.

We work from the printer's specifications and confirm the intended stock, finish and artwork requirements before final delivery. Proof review and supplier coordination can be included in the scope. Printing, manufacturing and shipping are separate services and costs to agree with the supplier.

#### Work from the real constraints
Format comes first. We confirm the dimensions, supplied dieline, folds, seams and printable areas with the production partner. Important text should be placed deliberately around those constraints rather than discovered to be awkward when the artwork reaches the printer.
Stock and finish affect the direction. We discuss whether the piece should feel restrained, tactile, bright or utilitarian, then check the proposed choices against the supplier's capabilities and the project's production budget. Material decisions belong in the design conversation.
Artwork approval is a defined step. Your team signs off product facts and copy; the supplier confirms technical specifications; we prepare and review the design against the agreed brief. Physical samples and proofs can be included when the project calls for them.
#### An artwork system you can use
The agreed deliverables can include a master layout, artwork for each approved variant, print-ready exports, editable source files and a concise guide to adapting the system. We specify the file formats and ownership at the start.
We separate a new variant from a redesign. The guide identifies what can change, what stays fixed and when a longer name, new format or different product category needs a design review. That makes future additions easier to plan.
Printer charges, tooling, physical prototypes and shipping are scoped separately. We can coordinate with your production partner, but a design proposal should make those responsibilities clear rather than hide them inside a general deliverables list.

A motion direction is a set of decisions about how the brand behaves over time. We explore pace, acceleration, pauses, transitions and the relationship between type and image. Those choices should reinforce the identity rather than imitate whichever animation treatment is currently fashionable.
A sharp entrance followed by a pause can feel decisive. A gradual reveal can give a complex idea room to unfold. We compare directions in context so the choice is about the impression and message, not simply which test contains more movement.
The opening brand film demonstrates a sequence rather than a collection of unrelated effects. In an engagement, we establish a few repeatable behaviors and then decide where exceptions would make the story clearer.

We begin with the audience, placement and one thing the sequence needs to communicate. A homepage loop, a launch film and a product explanation have different jobs. We agree what a viewer should understand and what can remain in the surrounding page or presentation.
Style frames establish the visual treatment. A storyboard or rough timed sequence establishes the order and duration. Reviewing those decisions before detailed animation gives your team something concrete to approve while changes are still straightforward.
Animation review then focuses on timing, transitions and readability. We check the sequence at its intended size and pace, including the opening state, the ending and the return to the start when it loops. Additional ratios are treated as compositions to review, not automatic crops.
#### Build for the final placement
For a website, we agree how the animation loads, when it plays, whether it loops and what appears before it is ready. The implementation team needs an intentional static or reduced-motion alternative, not an empty space where essential information should be.

What This Guide Covers
Every growing business eventually asks whether its spreadsheets have become the problem. Usually the honest answer is a smaller, cheaper fix, not custom software. This guide covers the real test for knowing when a spreadsheet has outgrown its format, what to try first, and what actually changes once you replace it with a custom web app, including what Hooman built for HIVE and what it costs to get there.
The Real Question Isn't Whether Your Spreadsheet Is Bad
Search for “signs it's time to replace your spreadsheet” and the same list shows up on a dozen agency blogs: version conflicts, manual data entry, no audit trail, formulas only one person understands. All true. All also present in thousands of spreadsheets that are working perfectly fine.
That list describes almost every spreadsheet that has existed for more than a year. It doesn't tell you anything about whether yours needs to change. The useful question isn't whether your spreadsheet has these problems. It's whether the workflow running inside it has outgrown what a spreadsheet, any spreadsheet, however well organized, was ever built to do.|
What We Call a Spreadsheet
A spreadsheet is a grid with formulas. It was designed for one person to analyze numbers, not for a dozen people to run a live operation through at the same time. When a business is small, that gap doesn't matter. As it grows, the gap becomes the whole story.
The Actual Test
Four questions get closer to a real answer than any checklist of symptoms. None of them ask whether the spreadsheet is annoying. They ask whether the workflow has outgrown the format.
One or two answers in the outgrown column usually means the fix is smaller than a rebuild. Three or four means the workflow is running on infrastructure it was never designed to carry, and it's worth having the build conversation.
What to Try Before You Build Anything
Not every spreadsheet problem needs a software project. Before scoping anything custom, it's worth ruling out the cheaper fixes first, because two of the three below solve the problem for a fraction of the cost and none of the ongoing maintenance.
Clean up the spreadsheet itself.
A surprising number of “we need custom software” conversations start with a spreadsheet that has never actually been organized: five versions floating around instead of one shared source, no protected cells, no clear owner. Consolidating to a single file and locking down structure fixes more of these problems than people expect, and it costs an afternoon, not a development sprint.
Try a no-code layer.
Tools like Airtable or Google AppSheet sit between a spreadsheet and real software: structured records, basic permissions, simple automations, without writing code. For a workflow that has outgrown a spreadsheet but doesn't need anything built specifically for the business, this is often the right stopping point, not a placeholder on the way to something bigger.
Buy something built for the job.
If the workflow is a common one, accounting, CRM, project tracking, someone has probably already built and refined software for exactly that problem. That was the right call for that workflow. It isn't always the right call, which is the rest of this article.
What a Custom Web App Buys You That a Better Spreadsheet Can't
Custom software earns its cost when a workflow needs something a spreadsheet, a no-code tool, or an off-the-shelf product genuinely can't give it: a system built around the business's actual rules, not a grid pretending to be one.
A spreadsheet lets anyone type anything into any cell. A custom web app enforces what's actually true about the business: a job can't be marked complete without the required fields filled in, a bid can't go out without a signed-off rate sheet, a record can't be deleted by someone without the right role. That's not a minor convenience. It's the difference between a tool that reflects the business's rules and one that quietly lets every rule be broken by accident.
The other advantage is connection. A spreadsheet is an island. A custom web app can sit inside the business's actual systems, pulling from and writing to the accounting platform, the CRM, the scheduling tool, without someone manually retyping numbers between them. Every manual copy-paste step is a place errors get introduced and time gets lost. Removing that step is often where the real return shows up, not in the interface looking nicer.
What We Built for HIVE
HIVE is a sharper example of the same idea. Hooman designed and built HIVE's web and mobile platform for identifying and valuing catalytic converters, a business that was pulling documents and photos from multiple disconnected sources before this and wanted a single system to hold all of it instead.
The lookup itself shows what “built around the business's actual rules” really means. A converter's value depends on make, model, year, engine size, and type, but two otherwise identical vehicles can carry different values depending on fuel type alone, a distinction that's easy to miss by hand and easy to enforce once it's built into the data model. VIN Match extends the same idea: instead of a buyer working through each spec manually, they look the vehicle up directly and the system applies the right rules.
Photo grading and lab testing work the same way. Every converter's condition gets documented and graded, and any unit that needs lab verification gets flagged and synced across the cart and review views automatically, so its status is visible to everyone who needs it instead of sitting in a photo folder or a separate note somewhere.
The clearest case for why this had to be software and not a better spreadsheet is the pricing. Converter values are tied to precious metal markets, and HIVE's platform can price against either a live hedge or a fixed indicator and switch between them. That's not a formula dropped into a cell. It's business logic that has to be built, tested, and kept accurate in real time, exactly the kind of workflow no spreadsheet, however well maintained, was ever going to carry safely.
What It Actually Costs and Takes
Cost is the question every version of this decision eventually comes down to, and it deserves a direct answer instead of a vague “it depends.”
A custom web app costs more upfront than continuing to patch a spreadsheet, and less than most businesses expect once the spreadsheet's hidden costs, the hours spent reconciling, the errors caught late, the one person everyone quietly depends on, are actually counted in. Scope is what determines the real number. A tool that replaces one workflow with a handful of views and role-based access is a different project than a full operational platform with dashboards, integrations, and mobile support.

What Replacing the Tool Doesn't Fix
Custom software removes a constraint. It doesn't remove a bad process.
If a workflow is confusing because nobody agreed on who owns which step, moving it into a web app will make that confusion faster and better documented, not gone. The businesses that get the most out of replacing a spreadsheet are the ones that use the build as a reason to actually define the process first: who does what, in what order, and what “done” means. Skip that step and the new software just becomes a more expensive place to be disorganized.
That's worth sitting with before scoping anything. The tool is rarely the whole problem. It's usually just the part that finally forces the real conversation.

The Number on the Page Isn't the Number You're Comparing
Ask five agencies to quote a web app and you'll get five numbers that look like they're describing the same thing. They rarely are. "Web app" is a category, not a specification, the same way "car" covers both a used hatchback and a fully loaded SUV. One shop hears your brief and prices the fastest path to something that technically works: a handful of screens wired to a database, shipped with minimal testing, ready to hand off. Another hears the same brief and prices the work required to build something that still holds up once real users, real data, and real edge cases have had time to find every weak spot.
Founders comparing these quotes side by side usually assume they're negotiating over price. More often they're negotiating over scope without realizing it. The number on the page reflects what each team believes "done" means, and that belief varies more than most buyers expect.
What an Eastern Europe or LATAM Rate Actually Reflects
There's a reason outsourcing firms in Eastern Europe and Latin America can quote so much lower, and it isn't that the work is easier or the developers less capable. Many are excellent. The rate reflects a genuinely different cost basis: contractor pricing tied to a regional cost of living, not the fully loaded cost of a resident team carrying North American wages, overhead, and accountability for what happens after launch.
Intellectsoft, one of the larger firms in this space, says as much on its own pricing page: the ranges it publishes are specific to Eastern Europe and LATAM delivery, and agencies based in the US or Western Europe should expect to pay considerably more for comparable work. That's not a hidden markup, it's a different market, and it's the same regional math we've walked through before when it comes to pricing a React Native build.
What You're Paying For, No Matter Where the Team Sits
Strip away geography and a serious web app build breaks down into the same handful of phases regardless of who's doing the work: discovery, architecture, design, testing, and deployment. None of these disappear because a quote is smaller. They get compressed, skipped, or handed to whoever's available instead of whoever's right for the decision.
Discovery is where a team figures out what you're actually building before committing code to it, the difference between solving the problem you described and the problem you actually have. Architecture is the set of decisions that determines whether the product can grow with your business or needs to be rebuilt the first time it tries. Design is the part your users actually experience. Testing is what catches the parts that break before your customers do. Deployment is getting all of that live, monitored, and stable, not just pushed to a server and left there.
Across most credible breakdowns of where a software budget actually goes, writing the code itself is a minority of the total effort. The rest is the thinking that keeps the code from becoming a liability. Skip enough of that thinking and you get a product that looks finished in a demo and falls apart under real use, which tends to be a far more expensive problem than the one a bigger quote was trying to prevent. What AI Actually Changed About the Price (and What It Didn't)
AI coding tools have genuinely sped up the parts of development that were always mechanical: boilerplate, standard components, first drafts of code a senior developer used to type out by hand. That's real, and it's worth saying plainly instead of waving it away the way defensive agencies sometimes do.
What hasn't gotten faster is the judgment work. AI can generate an authentication flow in minutes, but it can't tell you that the simple permission system in your brief will need a more complex hierarchy once your team grows, or that the casual "just use Stripe" decision needs to account for failed payments and proration before it ships. Deciding what to build, designing an architecture that won't need to be rebuilt, and testing a product properly before real users touch it remain human work. They were never bottlenecked by typing speed in the first place.
That matters for how you read a quote. Coding was already the smaller share of what a serious build costs, discovery, architecture, and testing did most of the heavy lifting even before AI entered the picture. So AI compressing the coding portion doesn't close the gap between a North American studio and an outsourcing shop. It shifts where the real value in a quote sits, toward the judgment a team brings before and after the code gets written, and away from the code itself.
When the Cheaper Quote Is Actually the Right Call
None of this means every project needs a premium North American build. If you're testing a rough idea before committing real money, need a simple internal tool nobody outside your team will ever see, or want something disposable to validate a concept, a leaner offshore build or even a no-code platform can be the smarter call. Paying for architecture and polish you don't need yet is its own kind of waste.

Style Guide vs. Component Library vs. Design System, in Plain Terms
Three different things get called a "design system" by mistake. Here's what each one actually is.
Style guide
A style guide documents your visual identity: color palette, typography, logo usage, iconography, sometimes voice and tone. It's a reference, not a working tool. Nobody codes against a style guide. It tells a designer, a marketer, or a print vendor what "on brand" looks like.
Component library
A component library is a set of coded, reusable UI pieces, buttons, inputs, cards, modals, built once and reused across a product. It lives in a codebase (React, Vue, whatever the stack is), not just a design file. A component library can exist with zero documentation or governance. It's just working code that happens to look consistent.
You'll also hear UI kit used almost interchangeably here. It's not quite the same thing: a UI kit is usually the Figma version of these components, a component library is the coded version. For the purposes of deciding what your team needs, treat them as the same problem.
Design system
A design system connects the other two. It includes the visual rules from a style guide and the coded pieces from a component library, then adds what neither one covers alone: documentation, principles, and governance for how and when to use everything. A style guide tells you what a button looks like. A design system tells you why that button exists, when to reuse it, and when a new component is actually warranted.
The short version: a style guide governs appearance. A component library provides working parts. A design system connects the two and adds the rules for using them well.
Where the Confusion Actually Comes From
Most teams don't ask this question out of curiosity. They ask it mid-argument: a founder wants "a design system" because a competitor has one, a new hire assumes one exists, or a rebrand kicks off a dozen inconsistent Figma files. "Design system" has become shorthand for "make our stuff look consistent," which isn't wrong, it's just not specific enough to build anything from.
The mismatch usually runs one of two directions:
A team builds a full design system, governance docs, contribution rules, versioned component releases, for a single product with three screens and two developers. That's overhead nobody asked for.
A team calls a folder of copy-pasted buttons a "design system" because it's reused across a couple of screens, then wonders why nobody follows it and it drifts out of sync within a quarter. That's a component library without the governance that would make it a system.
Neither team has a definitions problem. They have a scoping problem: they picked a name before deciding what they actually needed to solve.
What the Odd Culture Team Actually Needed (and Why a Full Design System Wasn't It)
The Odd Culture team runs several distinct hospitality venues, each with its own color palette, typography, and logo, all pulled from the same website Hooman built. Their internal tooling, including an automation that converts documents into branded PDFs, was still running on the old, pre-refresh branding. They wanted their internal tools to look as considered as the public-facing site.
The first instinct, on both sides, was to talk about a design system: something comprehensive enough to support every venue and scale as new ones got added. Hooman offered to schedule a call to scope exactly that, walk through existing components, see what could be reused, and build something flexible enough for future venues.
The Odd Culture team's actual reply: probably overkill. What they needed wasn't governance or a component library. It was the values: each venue's color hex codes, fonts (H1, H2, body, line spacing), spacing, and logo files, structured so their own internal automation could read them and apply the right branding depending on which venue a document was for.
Hooman delivered exactly that: a structured token set per venue, handed over as data their developer could plug straight into the existing tooling, plus an AI-readable design reference generated directly from the live codebase, so the values stayed traceable back to the real site instead of drifting out of sync with it. No governance model. No versioned component releases. No new Figma library. Just the values, in a shape a script could use.
That's the version of "design system" most teams asking this question actually need: not a framework to maintain, but the underlying values, structured well enough that whatever they're building can consume them.
Which One Do You Actually Need
Skip team size for a second, it's a worse predictor than the actual shape of the problem. Ask what you're trying to keep consistent, and across what.
Multiple brands, sub-brands, or properties, and the goal is consistent output across documents, decks, PDFs, or a website with no single shared codebase pulling from it: you need a style guide with structured tokens, not a design system. This is the Odd Culture situation.
One product, one platform, still early, and the team is small enough that inconsistency gets caught in code review: a style guide is probably enough for now. Formalizing more than that is optimizing for a scale problem you don't have yet.
One product, multiple screens or flows, and developers keep rebuilding the same button, card, or input because there's no shared source: build a component library. This is a code problem, solve it in code, before reaching for documentation and governance.
Multiple products, platforms, or teams that need to stay visually and behaviorally consistent over years, not months, with someone owning decisions about what gets added or deprecated: that's when a full design system, tokens, coded components, and governance together, actually earns its overhead.
Most teams asking this question are somewhere in the first two. The overhead of a full design system belongs to the fourth.

What Changed in 2026 (Briefly)
One reason "just give me the tokens" is now a complete answer rather than a shortcut: design tokens stopped being a proprietary, tool-specific format. The W3C's Design Tokens Community Group shipped its first stable specification in October 2025, so color, spacing, and typography values can move between Figma, code, and now AI tooling without a manual translation step at every handoff. It read every word correctly, summarized your plans without a single error, and then got stuck trying to add the cheapest one to a cart, on a button your own team built without a second thought. Nobody noticed. Nothing in your analytics tells that visit apart from a person who opened the tab and left. Your site has a new kind of visitor, and most products were never tested against it.

The browser grew hands
Claude for Chrome went from around 40,000 installs in December to over 10 million by June, crossing a million as early as February. Perplexity dropped Comet's paywall in March and rolled it out free across desktop, iOS, and Android. OpenAI's standalone Atlas browser, by contrast, is being shut down. It stops working August 9, folded into the ChatGPT desktop app and a Chrome extension instead. None of that traffic looks unusual in a dashboard, and that's a different problem than the one we've written about before. Crawler traffic comes from data centers and at least announces itself as something other than a person. A browsing agent doesn't. It's sitting inside someone's real, logged-in session, on their home connection, running an errand while they make coffee. Industry estimates put agent-generated traffic at 25 to 35 percent of enterprise web activity by the end of this year. You are probably already hosting some of it. You just can't see which visits they were.
Reading is solved. Acting isn't.

The three-task test
You don't need a research budget to find out where you stand. Open Comet, Copilot Mode, or ChatGPT's agent mode on your own site and try three things.
Phase 1: The "Toddler in a Cockpit" Diagnostic Test
Don’t panic. Just see where the robot gets confused.
Task 1: The Shopping Test: Add your cheapest plan or product to a cart. Can the agent actually reach the checkout? If not, congratulations, you have a "broken" checkout that no human reported because humans just complain or leave.
Task 2: The Contact Test: Find your demo or contact request form. Can the agent fill out the fields and hit submit? If the agent stares at it blankly, your form is effectively invisible.
Task 3: The Comparison Test: Ask the agent to compare your product page to a direct competitor’s. If it fails, your data structure is likely too "artistic" and not "informational" enough.
Phase 2: The "Fix-It" Hierarchy
