Beyond the Spreadsheet: Automating Growth with Sage Intacct

There is a day most growing companies recognize: the tools that helped them start are now holding them back. For finance teams, that usually looks like extra spreadsheets, an extra day closing the books, and manual processes that feel more like patches than solutions. This piece walks through how Sage Intacct solves the multi-entity problem that QuickBooks cannot, covering dimensional accounting, automated consolidations, and real-time dashboards built for companies that have outgrown their original stack.

automating growth

For many growing companies, there comes a day when the tools that helped them start begin to hold them back. It usually happens quietly: a few more spreadsheets to track different locations, an extra day spent reconciling entries, or a "janky" manual process that feels more like a patch than a solution. When a business outgrows QuickBooks, the move to Sage Intacct isn't just about changing software; it’s about regaining the time to be strategic.

The "Instances" Trap: Why Spreadsheets Fail

One of the biggest hurdles for multi-entity businesses is managing multiple instances of entry-level software. When you have five locations or three different entities, logging in and out of different files becomes a full-time job. You end up with a "wall" of data that requires manual consolidation, a process prone to errors and delays.

The nuance we focus on is Multi-entity Management. Sage Intacct is built to handle complex structures from a single login.

  1. 1.Global Consolidations: Instead of spending days on manual entries, you can consolidate hundreds of entities in minutes.
  2. 2.Dimensional Accounting: Instead of a bloated Chart of Accounts, we use "Dimensions" to tag transactions by location, project, or department.
  3. 3.Real-time Visibility: You move from looking at what happened last month to seeing what is happening right now across every branch of the business.

Translating Complexity into Clarity: The Hooman Role

When Hooman Studio stepped in, our job wasn't to explain the accounting math; it was to design the trust architecture. We realized that a CFO isn't just looking for features; they are looking for a sense of control.

We took the massive list of Sage Intacct’s capabilities and reorganized them into a "Human-First" hierarchy. We moved away from the intimidating, dense walls of text common in fintech and created a layout that breathes. Our role was to act as the bridge between BT Partners' deep technical knowledge and the end-user’s need for a tool that feels intuitive rather than exhausting.

Designing the "Aha!" Moment

A major part of our work involved the Visual Identity of the platform. We moved the brand away from a heavy, dark financial aesthetic toward a "Light" UI that uses clean white space and soft shadows.

We didn't just pick colors; we designed for the "Aha!" moment. That second when a user realizes they can see their entire company’s health on one screen. By using high-readability fonts and interactive charts, we made "Executive Analytics" and "Rolling Forecasts" feel like a conversation rather than a math problem.

From Static Specs to Moving Stories

One of our most significant contributions was the use of functional motion. We knew that "Data Migration" is a scary term for many businesses. To lower that anxiety, we created 3D animations that show how different modules (like AP Automation and Expense Management) actually plug into the central system.

Our team designed these sequences to settle into place as you scroll, giving a physical sense of "clicking" into order. This mirrors the real-world benefit of Sage Intacct: it takes the scattered pieces of your business and assembles them into a solid, stable foundation.

Moving Toward the Light

The transition to a True Cloud solution means you never have to worry about server maintenance or manual backups again. It is a move toward a more transparent, efficient way of doing business.

When you look at the clean, organized visuals of our Sage Intacct redesign, you aren't just looking at a website. You’re looking at what your business feels like when the spreadsheets are gone and the growth is automated.

Your business is growing, but your accounting shouldn't be a full-time manual labor job.

This chapter is the second step in our journey with BT Partners. To see how it all started, take a look at Part 1: Enterprise Software Upgrade, where we laid the groundwork for the transformation.
